_CASM Executive Board Meeting Minutes - June 2011

The meeting was called to order by President Ken Childres at 2:30 P.M.
Status of CASM Contest:
Brianna Childress reported on the current plan for the CASM Contest. Current funds available for the contest are approximately $1500.00 and the projected cost of the contest is less than $1500. The Contest Committee has been working hard and is following the timeline established early in the year. All of the decisions regarding the contest have been by consensus of the committee. The Committee has completed the following: contacted potential venders, received donations for the raffle, and are waiting on more donations; have made a list of supplies necessary for the contest, plan on purchasing the supplies in September, and storing the supplies in one central location; Brian from Game Zone Alpha will be contacted in July regarding the availability of tables; the table layout that will most benefit the store, venders, and contest is being evaluated; the contest data base has been built and pre-registration will open 7/1/11; advertising has started with notification to television and radio calendars, flyers distributed to local hobby shops and clubs, a listing has been posted with IPMS, and an email has been sent to all previous contest participants announcing the contest; more contest flyers need to be printed; Josh Swift is ordering plaques and Ron Leker is ordering medals; signs and sign supports for the tables are completed; Rick Knapp is working on road signs that provide directions to the contest and plans to have them completed in August; the data base used for judging will be tested in August; judging criteria have been posted and photo examples of Gold, Silver, and Bronze models will be posted in August; a class on judging will be completed in August or September; judging will be completed by groups of three judges per class with one of the three judges the Head Judge for the category; and attendees from other clubs will be added to the judging trios on the day of the contest, the Head Judge will train them on the system; a list of all medal winners and pictures of models that won Gold medals and Best of categories will be posted on the Club Website; and all supplies for the contest will be stored at one central location.
Discussion also centered on how we would know if the contest was a success. The following measures were discussed as a way of determining if the contest was a success: revenue of the show would equal what is presently in our account; the number of new faces and members who attend the contest; improved relationships with venders, local hobby shops and clubs from the surrounding areas; increased number of entrants; level of organization of the infrastructure during the day of the contest; and if participants leave the show happy.
Modeler of the Year
The annual modeler of the year process will begin shortly. The Modeler of the year will receive a bronze plaque that is being ordered by Josh. Nominations for Modeler of the Year will be made at the July meeting. This year the person making the nomination will be asked to provide a short statement describing why the person is being nominated. Voting for the Modeler of the year will be conducted at the August meeting on a written ballot. An email will be sent to all regular attendees and club members next week and if someone who desires to make a nomination is unable to attend the next meeting, they may make the nomination via email. The list of nominees will be posted in the club Forum. If a person is unable to attend the August meeting then they may vote for a member on the club forum.
Survey Review
The survey completed at the last club meeting was reviewed and a summary of responses will be posted in the Secretary Section on the club Forum. A majority of survey respondents reported a desire to increase fellowship between club members, reach out to the modeling community, improve modeling skills, and decrease the number of club builds.
Increasing fellowship between club members. One way to increase contact with one another is to increase usage of the club Forum. To increase Forum use, Brianna is going to do a demonstration on how to use the Forum that includes how to post pictures, comments, and video demonstrations; the following month, a demonstration will be made at the club meeting about how to photograph models to produce high quality pictures for posting; at the following meeting a discussion will be had addressing how to write about building models in a concise way. It was suggested by a respondent to increase the number of contests to two per year. We plan on hosting a photo contest on the Forum where club members and regular attendees may submit entries on the Forum and the contest will be held in June of next year. Winners will be determined by club member and regular attendee vote on the Forum. Another section of the Forum will be set up where participants can post different model dilemmas or ask for help on techniques that can be responded to by other Forum participants.
Reaching out to the modeling community. We would like to change the Scratching Post from a newsletter to a modeling blog that presents regular updates related to club demonstrations and Work In Progress and Completed Works sections of the Forum. We are looking for a club member who will be willing to work with Brianna in setting up the blog and coordinating articles and entries. We are also working on obtaining the equipment necessary to stream the club meetings live on Skype for club members who are unable to attend the meetings due to obligations and distance. We hope this will appeal to our out of state and international members.
Improving modeling skills. There are a variety of gatherings where club members learn modeling skills through building models together, exchanging ideas, and putting on demonstrations. It occurred to us that a large number of the club members are unaware of these activities. So, these activities will be shared with everyone during the club meetings and new people will be asked if they desire to attend the activities.
Group Builds. Group builds were rated lower than a number of club activities but we also believe they are of value to the club. We discussed reducing the number of group builds from four a year to two a year with the hope that the reduced number will increase the level of involvement by club members.
Club Shirts and Hats The purchasing of Club shirts and hats were discussed. There is a shop that already has art work for the club on file. If a person desires a shirt or hat, a person needs to pay in advance of the purchase and we will contact the printer to make the items requested. We would like to order in bulk so money should be brought by the August meeting so that the items will be available by the time of the contest. We discussed setting up a PayPal service so that online purchases could be made.
PayPal The E-Board discussed the benefit of opening a PayPal account to manage online orders of shirts and hats with the club logo on them as well as the paying of dues. Brianna is going to find out all of the details related to opening an account before we proceed.

Gary Johnson
Gary Johnson passed away last week. Gary was a long time member of CASM and had several close friends in the group. Ken nor Bri were able to attend the funeral last week but flowers were sent representing the club. He will be missed.
CASM Interest Survey
The E-Board is interested in comments from attendees of the club meeting regarding what club activities they prefer; what they like about the club; what they would like to improve; and how they would want to improve it to better understand where we are at as a club and what we can do to improve the club. An interest survey was handed out to 22 attendees with 17 returned. Thanks for you input on shaping the future of the club.
Sponsorships
Ken Childres encouraged club members and regular attendees to obtain sponsors for the upcoming CASM show. There is currently not enough money available to purchase all of the medals and trophies scheduled for the show. The club may be forced to reduce the number of trophies handed out this year or resort to paper awards as alternatives. Sponsorships is one way the club can make up the monetary shortfall and donations is another. Sponsors receive website advertising and a link to their website through the CASM Webpage and Facebook page. There will also be a display at the contest where information, business cards, and pamphlets will be made available for all of our sponsors.
Online registration for the contest begins on 7/1/11
Online registration for the contest begins 7/1/11. Online registration will streamline the registration process on the contest day by having pre-registered entrants’ paperwork completed prior to the contest which payment is all that will be necessary at the registration table.
July Group Build
The Arkansas Heritage Group Build contest will be held during the next meeting. The top three winners will receive the gift cards to HobbyTown USA. The club voted on the next group build to be: “Modeling in the Movies” and will be concluded during the November meeting.
Photobooth
Noel Lawson brought his photobooth for use by the club. Models brought to Show-n-tell will now be photographed by Josh in the photobooth. The booth may be used at other times by members.
Aerospace Education Center Sale
Dave Wassell reported that the Aerospace Museum was conducting an estate sale yesterday evening, today, and tomorrow. They are trying to sell everything.
Demonstration
Ken Childres presented a demonstration on the use of pigments for different weathering and shading effects. Nicely done Ken!
Gift Card Drawing Winners
Many thanks are given to Hobbytown USA for donating the gift cards for the drawing. The winners were as follows: $5.00: Melinda Godwin; $10.00: Conrad Schachlin; $15.00 Ray Smith.

Rick Knapp: presented his completed diorama and a WIP JSU 152 with figures.
Dave Stillwell presented a F-101 Voodoo.
Daris Long presented his three tanks completed during his Pulaski Tech class that included a T-34; M-47, And Sherman tank. All of the kits were over 35 years old and were very nicely done!
Richard Buzbee presented an Italiari Stuart; a Puma; and two War of the Worlds Martians.
Lloyd King presented a Marine Corp Vindicater by Accurate Miniatures and a Hasegawa F-104.
Andrew Hart presented the Revell Monagram F-14. All hand painted with a very smooth finish.
Mack Miller presented individual parts of a diorama commemorating Kelly’s Heroes. He shared some tremendous detailed facts regarding the scene he was reproducing.
Ken Childres presented the hypothetical E50 Flakpanzer by Trumpeter and brass turned machine guns.
Ron Leker presented a Panzer Kampfwagon that he was turning into an alternate history piece of an attack hover tank and a Merkava tank that he plans on turning into a hover tank.
Chris Luna presented Xaku II Gundum and a Revell of Germany Audi R-8.
Jason Keaton presented a kitbashed WIP of a Mad Max vehicle.
Melinda Godwin presented a metal model ’67 Chevelle that she had converted into the vehicle used on Supernatural.
Cliff Bullock presented a Verlinden Street Fighter Diorama base.
